Very easy
Follow these 10 steps:
1. At the beginning of your shift, log in to ShiftPal using face recognition
2. For each new patient, click on "Add Patient" in the bottom menu.
3. Click on "Scan Info" to capture the data from the patient card (or the top portion of the AH-280 sheet) and then "add to shift."
4. By clicking on "My Shift" at the bottom, your patient is now in the "Active" list
5. Click on the patient to enter the Dx and then save
6. Select the desired exam or procedure. You can annotate, prioritize or add a reminder
7. You can add a procedure or an exam as many times as needed
8. Once the case is finished, click on "Set up the patient". The patient is now in the "Set" list. You can reactivate the patient at any time
9. At the end of your shift, go to "My Shift" and enter the date and time the shift ended. Also enter the resident or outpatient number if you supervised one. Then click on "Finalize and Submit."
10. Click on "History" in the bottom menu to access the list of your shifts worked. You can refresh the page to see your most recent shift. Click on the desired shift and your detailed billing report will appear. You can manage this report as you wish, by emailing it to yourself, submitting it directly to your billing agency or printing it.
ShiftPal is available on iPhone 6s or newer devices. You need to verify that your iPhone device's operating system is iOS 14 or later.

ShiftPal uses powerful patient card recognition software with an advanced AI algorithm system. The tool is able to recognize sensitive data areas on patient cards and adapts to new cards
It is recommended to scan the image of the stamped card rather than an image of the card itself so that the software can more easily extract the text.
Extracting the text areas of the black-on-white stamped card by ShiftPal is more efficient
If ShiftPal fails to capture the patient card data from your hospital or clinic, please contact us and our technical support will quickly resolve the issue.

For your billing purposes, only the valid RAMQ number is required
It is important to verify if the RAMQ expiration date is valid for each of your patients. If the date has expired, you will need to specify by unchecking the box to that effect. This will alert your billing agency that the patient does not have a valid RAMQ card at the time of the services you provided
As for the name, ShiftPal allows you to capture the last name and the first letter of the first name simply to help you better manage your patients in your shift management. This nominal data is not required for billing purposes
Your device may be too close to the data source. Move the device back a little further from the data and try again
Sometimes it is best to use the photoscan in the vertical (portrait) axis and not the horizontal (landscape) axis. The photoscan works in both axes to capture patient data from hospital cards, DSQ or RAMQ card.
Data fields from other sources such as patient demographics from your EMR or data from the AH-280 header require that the photoscan be performed with your device in the vertical (portrait) position
Also, if the patient is out of province (without RAMQ), you will have to enter the data manually. In this case, you will only have to enter the last name, first name and date of birth while unchecking the box indicating that the RAMQ card is not valid for this patient and then add it.
You can add a note for your billing agency to specify if this patient is out of province / foreign patient and attach the relevant forms (Inter-Province or insurance form) to the report generated at the end of your shift
Finally, for patients covered by the RAMQ, it may happen that the photoscan does not manage to capture the data despite the tips described above. You will then have to enter the data manually. If you enter the RAMQ only --> the date of birth, gender and a portion of the last name and the first letter of the first name will be automatically generated. Remember that only the valid RAMQ is required for billing purposes. The other identifying information is mainly so that you can easily find the patients in your "active" and "paid" lists
This problem can occur especially with older versions of IOS on larger phones. Just make sure you update to the latest version of your IOS and restart your phone. ShiftPal should then display correctly on your device. Do not hesitate to contact us if the problem persists
The WiFi network can sometimes be slow. You can disable WiFi in your settings and use the cellular data network
As an indication, 97% of the requests to add a deed and calculate the amount are done within 215 ms. The photoScan takes on average 1.5 seconds
When you enter certain information manually, you must always finish the procedure by pressing your blue "enter" or "done/done" button. The data will then be saved.
This concerns most of the different data fields such as RAMQ, date of birth, RAMQ expiration date, added notes, diagnosis, etc...
In ShiftPal, it is recommended that you bill the exams and procedures just as you would have done if the patient was covered by RAMQ
Without RAMQ number, you will have to:
- manually enter the data: name, date of birth, gender
- uncheck the RAMQ expiration box
- if the patient has private insurance, you can attach the private insurance form to your billing report generated at the end of your shift (Blue Cross, Desjardins)
- if the patient does not have private insurance and has paid the fees required by your hospital, you can attach the cash register receipt to your billing report generated at the end of your shift
- you can add a note for your billing agency (ex: NON RAMQ see attached document).
Having followed the above steps and provided the relevant documents, your billing agency will proceed with the appropriate billing for those cases not covered by RAMQ
The exams and procedures billed in ShiftPal will at least reflect your income as accurately as possible during your shift and for all your personal and comparative data
